How AstraZeneca Simplified Document Access with Process Navigator

In the bustling world of pharmaceutical research, where every second counts, having quick access to critical content is essential. Meeting this need was a significant opportunity for our Vice President of R&D Quality Assurance. At AZ we are committed to delivering life-changing medicines to patients. To achieve our goals, we must do things smarter and more efficiently while maintaining the highest quality. For this to happen, all our users need easy access to procedures and quality documents to do their jobs quickly and effectively.

With 11 R&D centers and 28 global manufacturing sites, ensuring easy access to essential documents seemed complicated. We service 19,000 users worldwide of these 2,500 are document and procedures experts. The rest are unfamiliar with the advanced tagging and filtering capabilities in Vault QualityDocs. For these casual users, who use the system only occasionally, we needed a simple and intuitive approach to navigating the system based on their familiar processes.

Our vision was clear: an easy-to-use solution that provided all users with round-the-clock access to the right procedures, such as SOPs, guidance documents, etc., at the right time without additional training. The VP, who believes in simplicity, clearly articulated this vision: “The casual consumer should spend less time searching, have more time for reading SOPs and learn how to do things right the first time.”

The Solution: Process Navigator in Vault QualityDocs

Process Navigator in Vault QualityDocs was the answer to our challenge. It provided an easy, intuitive interface for our casual users, eliminating the need for extensive training and significantly reducing the reliance on tagging. It helped users quickly find the information and documents needed to do their jobs and streamlined processes such as audit preparations and overview tasks.

The intuitive search function and user-friendly interface meant users no longer needed extensive training to navigate the system.

Implementing Process Navigator was straightforward. We started small and scaled up fast. Process Navigator moved into production with an initial upload of 800 documents. The system’s design allowed for easy scaling, allowing us to expand its document access capabilities quickly.

Casual users found it easier to access essential documents, significantly improving efficiency. The intuitive search function and user-friendly interface meant users no longer needed extensive training to navigate the system. We are now excited to say we have an efficient solution that a business admin can maintain, so our document experts are not asked to do more.

Looking Ahead

With the success of Process Navigator, we are looking to expand its capabilities even further. We plan to include adding more business processes, automating document additions, and refining the page to handle the increasing number of entries.

The journey of Process Navigator has shown the importance of a clear vision, strong sponsorship, and a customer-focused approach. We implemented a practical solution that met users’ needs and enhanced overall efficiency by starting small and scaling up.
