Best Practices for Implementing a Cloud-Based Claims Library in Medtech

Veeva MedTech recently hosted a group of cross-functional professionals from 11 medtech companies to discuss best practices for implementing a digital claims library. The group had expertise ranging from regulatory affairs and marketing to sales operations and IT and represented a variety of segments including Diagnostics, Ophthalmology, Cardiovascular Care, Renal Care, and others.

Following are five key takeaways that provide insight into some of the most important considerations when implementing a claims library.

1. Benefits of a Cloud-based Claims Library

Implementing a claims library leads to greater efficiency by reducing redundant work and ensuring consistency in messaging across the organization. Well-defined claims management processes combined with auto linking capabilities of a tool like PromoMats improves content time-to-market, compliance, and cross-functional collaboration.

2. Establishing the Correct Approval Process

The people and processes for claims approval should be very similar to your standard content review and approval to keep your processes simple and avoid confusing your teams. Unlike standard materials, limiting the individuals who can input claims into the system will keep the library in order and functioning well. With nuances such as match text variations, it’s important that the claims are managed in a consistent fashion.

3. Handling Legacy Claims

Best practices for bringing legacy claims into the system vary based on each company’s circumstances. Participants primarily brought legacy claims into the system in batches based on a predetermined prioritization to manage the workload. Prioritization could be based on things like revenue, volume of upcoming content to develop, or available bandwidth of the critical team members for the specific brand or business unit.

4. Finding the Right Balance with Match Text Variations

Match text variations provide a degree of flexibility for marketing in how they articulate a given claim. However, there are a few considerations in utilizing them or managing requests for an excessive number of variations. One key rule to emphasize with your teams is that it must have the same supporting reference(s). If supporting references are different then it’s a different claim. 5. Collaborating with Content Creators and External Agencies
